Step 1 of 2

What the pilot includes

Joining the pilot is joining the product team for a month.

Pilot group partners don't test finished software. They shape the defaults the product ships with — and get implementation support, direct access, and simple pricing in return.

Founder-led onboarding

Direct implementation with the founder and product team. No account-manager layer, no templated rollout.

Staged rollout

Start with one workflow — intake, review, or foster follow-up. Expand only when your staff is comfortable. No rip-and-replace.

Direct product feedback loop

Weekly or biweekly working sessions to refine fields, permissions, and review thresholds based on how your team actually works.

Influence on defaults

Pilot group partners shape the workflow defaults, review criteria, and field templates that the product ships with at general availability.

Simple shelter-first pricing

WhiskerMatch is $20/month per organization. No seat limits. No per-user pricing. Add staff and volunteers without penalty.

Implementation support

Import from spreadsheets and system exports. Field mapping, reviewer setup, and staff walkthroughs included.

Best fit

Selective because the pilot is hands-on.

Onboarding is founder-led and staged around a single workflow, which means there's a real cap on how many organizations can join at once. Here's the honest shape of fit.

Good fit
  • You run intake or placement at a shelter or rescue with real volume — roughly 20+ animals in active placement.
  • Your public listings don't fully reflect what your staff actually know about the animals.
  • Your operational pain is in intake structure, applicant review, or foster follow-up — not in ad spend or donor marketing.
  • You want to shape defaults, not just consume finished software.
  • Someone on your team is willing to give direct feedback as the system lands.
Better to wait
  • You need turnkey, fully-featured software on day one.
  • You want a listing aggregator or a ranked marketplace.
  • You need a deep shelter management system replacement before any pilot can start.
  • You want to deploy self-serve, without a conversation.
  • You're expecting the public adopter surface to already be live and populated.
What happens after you send

A clear process, with real people at every step.

Here is exactly what happens after you review and send a pilot request from your own email client — and when you can expect to hear back.

We read every emailed request and reply personally

Within 3 business days

No autoresponder. If it's a fit, you'll hear back from someone on the team by name with next steps.

A short fit call

30 minutes

Intake volume, current tooling, where the most time goes, and what you'd want fixed first. We qualify out honestly if the timing isn't right.

Scope the first workflow together

1–2 working sessions

Pick a single workflow to start with — usually whatever's costing the most staff hours. We shape the system around your team, not the other way around.

Staged rollout begins

Weeks 1–4

That workflow goes live for your team first, running alongside existing tools. No public surface until your staff has used it and signed off.

Short answers

Questions serious operators ask before applying.

What does the pilot cost?

$20/month per organization. No seat limits. No per-user pricing. Staff and volunteers included. Full details on /pricing.

Do seats or user counts change the price?

No. WhiskerMatch is priced per organization, not by seat or user count. Add staff and volunteers as your operation needs.

How much time does this require from our team?

A few hours per week from one point person during the first month. The fit call, one or two scoping sessions, and brief feedback check-ins. Staff usage is shaped around your existing workflow, not added on top.

Do we have to replace our current shelter management system?

No. WhiskerMatch is built to run alongside your existing shelter software and spreadsheets. We import what matters and start with one workflow. No migration weekend, no forced cutover.

What if we're close, but not ready right now?

Tell us anyway. We keep a shortlist of organizations we'd like to work with next, with context on what would make the timing right. When the next pilot group opens, you'll hear from a person — not a marketing sequence.

What happens to our data if we decide not to continue?

You can export your records at any time. Organization data is not sold, rented, or used for any purpose outside your own placement work.

How do we know the request went out?

The request opens an email draft in your own mail client, addressed to founders@veldarium.com. Review it, send it yourself, and check your sent folder for confirmation. If you don't hear back within 3 business days, email us directly.
